Craft Vendors, Old West Sutlers or Antique Vendors:

Thank you for your interest in the HARVEST FAIR.   The HARVEST FAIR is an old west event.

We are looking for vendors that sell old west type items, country crafts, antiques, and other items that would fit with an old west theme.    If you fit into this category, read the following information very carefully.   Vendors are expected to decorate their booths old west style or country style, very authentically.  They are also asked to dress “Old West” or “Country”.

The basic rule of thumb is to “Hide anything that looks modern.”  

If you are a food vendor, read the following information and then read the special information for food vendors at the end of this.   Generally, we only allow a limited number of food vendors.  Food vendor spaces fill up fast.    

If you have amusement type rides/ attractions, we have a limited space for such attractions.  Read the following pages and contact us as indicated below.

OLD WEST SUTLERS, CRAFT VENDORS & ANTIQUE VENDORS

The 28th Annual Harvest Fair is scheduled for Two Weekends, Nov. 1,2 & 8, 9, 2008 in San Bernardino, California. 

It is located here at the C.I.D., 8088 Palm Lane, San Bernardino, off 4th St. one block east of Waterman.  The Harvest Fair is a benefit for the C.I.D. (Center for Individual Development).    It is sponsored by San Bernardino City Parks, Recreation & Community Services Dept. The Harvest Fair will include:  Live Country Music, Western Music, Old Time Music, Old West living history, crafts, antique cars (on Saturday Nov. 3), a Chili Cook Off (on Sunday Nov. 4) a Mariachi Band, Folklorico dancers, square dancers, cloggers, & more! 

CRAFT VENDORS AND OLD WEST SUTLERS MAY REGISTER FOR ONE WEEKEND OR BOTH WEEKENDS. 

Spaces are approximately 15' x 15'. Vendors needing more space will be charged for extra space(s).               

 VENDOR RATES ARE AS FOLLOWS:

-Special Rates until June 1, 2008: $70 total per space if registering for both weekends and  $55 if registering for one weekend.

Payment must be made in full to receive a discount!

-After June 1, 2008, the rate is $80 total per space if registering for both weekends and $65 if registering for one weekend and if registered by Friday Oct. 24.

-After Friday Oct. 24, 2008 the rate is $90 total per space for both weekends or $70 for one weekend.

-Electricity is $40 extra for one weekend - $80 total for both weekends.

            Electricity is available only if absolutely necessary.

A limited number of barn wood sheds & Old West buildings are available for rent at either $35 or $45 total (depending on size) for both weekends ($25 or $35 for one weekend).  Call me for information on renting these booths.

HARVEST FAIR

CRAFT/ANTIQUE VENDOR & OLD WEST SUTLER

FACT SHEET

We are looking for vendors that sell old west type items, country crafts, antiques, and other items that would fit with an old west theme.  

-Crafts should be handcrafted, old-fashioned type items. Antiques and old west items are also acceptable.   Please do not bring modern items to sell such as plastic items, plastic buttons, t-shirts, etc.   Donations of crafts items for the drawing & silent auction are encouraged.

We ask everyone to decorate his or her booths according to the Harvest Fair Old West, theme (corn stalks, pumpkins, scarecrows, barn wood, etc.).  Vendors are responsible for bringing their own table, shade and display equipment.  Everyone is asked to dress in costume e.g. Old West, Country western, Native American or “ like a farmer or rancher.”   See enclosed information on booths and costumes.

-Spaces are approximately 15 ft. x 15 ft.

-Vendors must be open Saturday & Sunday 10 a.m. to 5 p.m. each day.

-The Harvest Fair is an outdoors event in a park.

-Approximately 2,000 people per day are expected at the Harvest Fair a total of 8,000 for both weekends.

-Vendors will be assigned spaces on a first come, first served basis.

-Vendors need to have a fire extinguisher (rated A-B-C) in their booth. 

-A limited number of Old West style barn wood booths are available for rent.  Also, a limited number of shaded spaces are available at an additional cost.  Call for information regarding this.

- Vendors are not allowed to sell Food items unless they have special permission.

We reserve the right to sell food concessions as a fund-raiser for the C.I.D.

-Vendors may set up on Friday, the day before the Harvest Fair between 10:00 a.m. and 5:00 p.m.

-Otherwise, set up time is 7:30 a.m. on each day of the Harvest Fair.  Vendors must be completely set up with cars & trucks removed from the area by 9:30 a.m. each day.  There is security but Vendors do leave their booth and other items at their own risk.  It is recommended that Vendors set up only their booth the day before. Crafts items should be locked up and taken off the premises overnight Friday and Saturday.  Vendors may camp on the grounds on Friday, Saturday & Sunday nights.

-Early closing will not be allowed. Autos and trucks may not be moved into the Harvest Fair before closing at 5:00 p.m. each day.

-Please make your price signs on parchment paper that will look Old West.    Also, please do not put up any signs that are made of plastic or that look modern.

-Vendors are responsible for any tax obligation to the state.  Contact the State Board of Equalization at 3737 Main St. Riverside, CA 92501 ph. (909) 680-6400.  A free temporary permit can be obtained there.  Representatives may be checking for sales tax permits at the Harvest Fair.  A California Seller’s Permit number is required and a copy of your California Seller’s Permit.

-Cancellations cannot be accepted for any reason.  All deposits and remittances paid are nonrefundable.                                                        

                       

                        

  

HARVEST FAIR

 GUIDELINES FOR COSTUMES

 

Welcome to the Harvest Fair.  The  year is 1881.  The President  is James Garfield.  Red Cloud is the Chief of the Oglala Sioux.  There are 38  states in the Union .  Native Americans are attempting to maintain their culture and lifestyle. Some of the Territories (not yet states) include Nebraska , Utah , Kansas and the Indian Territory ( Oklahoma ).  As people walk through  the Harvest Fair, we want them to feel like they are in that era.  Strolling through the Harvest Fair you   see barn wood buildings, tipis, bales of hay, wagon wheels,  butter churns  and people dressed country western, as Native Americans, or like a rancher, an 1881  rancher that is. 

You as a Harvest Fair participant,  will help people get  that spirit.  The more successful we are in accomplishing this, the greater will be our success at the Harvest Fair.  There will be some areas which do not adhere to this “old time look” e.g. the carnival ride area.  However,  we strive to make the vast majority of the Harvest Fair  have an 1880 “feel” to it.  We ask all  participants   to dress themselves in the 1881 style e.g. “country western”, as a Native American,  or “like a rancher”.  We ask  you to look like you came from the 1880’s.

 

Guidelines for Costumes

 

-All participants, volunteers, vendors etc. are asked to  be dressed  in clothing that would fit in the 1880’s e.g. country western, like a farmer, etc.   Wear blue jeans, bib overalls, blue denim work shirts,  flannel shirts.  Denim and blue jeans should be  blue. black, or brown.  Ladies may wear calico skirts, dresses, tops, etc.  Feel free to “accessorize" your outfit with red or blue bandannas, cowboy (and cowgirl) hats,  etc.   Shirts & skirts should be old-fashioned looking.

-Please, do not wear modern looking denim or clothes e.g. acid wash, stonewashed, or  red, teal  colored denim.  Clothing should be cotton or other natural fabrics.  Please, no polyester.   -This 1881 style includes shoes.  Please do not wear tennis shoes. sandals, thongs, etc.  Instead wear leather cowboy boots, leather old-fashioned looking  boots or shoes, moccasins,  etc. 

-We ask that you do not wear modern looking watches (keep it in your pocket-out of sight), or modern looking sunglasses (Remember, it is 1881, these things  have not been invented yet.)  A cowboy hat or old fashioned straw hat can do very well to keep the sun out of your eyes.  ( or old fashioned  sunglasses) If you wear glasses, try to obtain a pair of old-fashioned looking glasses  e.g. round or  octagonal, wire-rimmed glasses.  Thank you very much for your cooperation with these guidelines.  Together we can make the Harvest Fair a great event!

GUIDELINES FOR BOOTHS

- All Vendors are asked to decorate their booths as realistically and authentically as possible according to the Harvest Fair, “Old West”, theme, (wood barrels, corn stalks, pumpkins, barn wood, wagon wheels, butter churns, canvas tents, tipis, etc.).   The basic rule is to hide anything that looks modern.  

The following guidelines are strongly recommended and encouraged.

Please Do:

-Use cotton canvas, “found” wood, weathered wood, rough-sawn lumber, barn wood and natural fabrics.  Plywood can be used only if it is painted a rustic color e.g. brown or disguised so that it does not look like plywood.  If you do need to purchase new lumber, plan to stain, paint, distress or otherwise age it, so that it appears weathered.  Rough sawn lumber, barn wood or old fence wood is highly recommended.

-For sitting, please bring wooden chairs, wooden rocking chairs, wooden benches, and bales of hay or similar items.

-Please be sure to design your booth so that it will look authentic from all angles.  Many booths can be seen from all sides.

-Signs need to be made out of natural materials that would have been used in the 1880's e.g. parchment paper, old wood, canvas, etc.  Please do not use plastic or other modern materials for your signs.

Please Do Not:

-We ask that you do not use building materials or display materials that are inappropriate for the 19th Century e.g. cardboard, pegboard, poster board, nylons, plastics, card tables, bamboo screening, plastic tarps that are visible from the exterior.  Remember, this is 1881. These things have not been invented yet.  

Suggestion:  You can disguise these things by covering them completely with old-fashioned cotton canvas, burlap, blankets, canvas, quilts, etc.  Cloth materials should be fireproofed.

-Please do not use plastic tarps, nylon canopies, E-Z Up canopies, or “swap meet” type canopies, if the public can see them.  This detracts from the feeling of the 1880’s.  We ask that you use canvas, barn wood, weathered wood, or “found” wood for shade.   

Suggestion:  You can disguise these things by covering them completely with cotton canvas, burlap, old-fashioned blankets, quilts, etc.   Cloth materials should be fireproofed.  

Booths need to have a fire extinguisher rated A-B-C.

-Please do not bring lawn chairs, metal, plastic or other “modern” chairs that would be visible to the crowd.  Modern looking items or materials should not be visible.  e.g. ice chests, card tables, aluminum canopy poles, etc. -Suggestion:  You can disguise these things by covering them completely with old fashioned blankets, a serape, cotton canvas, quilts, or burlap.

FOOD VENDOR INFORMATION FOLLOWS

 

HARVEST FAIR FOOD VENDORS

SPECIAL RATES UNTIL JUNE 1, 2008

$200 total for both weekends.

Payment must be in full to receive a discount. Spaces are approximately 15’ x 15’

Food vendors may reserve a space with a $75 non-refundable deposit. The balance must be paid in full by October 1, 2008 in order to receive a discount.

After June 1, 2008, the rate is $225 total for both weekends.

 Payments must be in full in order to receive a discount. 

After October 24, 2008, the rate is $245 total for both weekends.

 

Electricity is  $80 extra for both Weekends

Electricity is available only if absolutely necessary.

Vendors are asked to decorate their Food Booths ”Old West”,”1880’s Period”,  “Old Mexico” or” Country” & to dress in similar costume.

Please do not have modern items visible e.g. plastic items, ice chests, plastic bottles, soda cans and bottles, modern signs, plastic or aluminum containers, etc.

Please do not use modern canopies, aluminum chairs, lawn chairs, etc.

HARVEST FAIR

FOOD   VENDOR   FACT   SHEET

 

-Electricity is $80.00 and will be provided only if absolutely needed.

-Food Vendors must be open Saturday & Sunday 10 a.m. to 5 p.m. each day.

-Approximately 2,000 people are expected each day at the Harvest Fair, for a total of 8000 for both weekends.

-Vendors are not allowed to sell beer, wine or other alcoholic beverages items.

We reserve the right to sell these beverages as a fund-raiser for the C.I.D.

Food Vendors are required to collect tickets in addition to money.  Count your tickets, complete a Final Report Sheet and Turn this into the Front Desk at the end of each day.   At the end of the Harvest Fair we will write you a check for the amount of your tickets. 

-Please make your prices in increments of 50¢ e.g. $2.50, $3.00, $4.50 etc.  The tickets are   50¢  & $1.00 tickets. -The reason for this is that the Harvest Fair runs some food booths, saloons etc. that collect only tickets. 

Food vendors are responsible for obtaining a proper San Bernardino County health permit.   They are available from the San Bernardino County Health Dept. at 385 N. Arrowhead, San Bernardino CA   92415 ph. (909) 387-4608.  They ask that you call first before going to the office.   The food permit fees are reduced if paid more than 48 hours prior to the event.  If paid less than 48 hours prior, the fee is higher.      

Everyone is required to dress in costume e.g. “Dress Old West or country western.”  See the information on booths & costumes.

Please try to make any equipment; supplies & decorations that are visible outside of your booth look old fashioned. e.g. Please do not keep ice chests outside the booth or if you do, cover them with cotton canvas, burlap or other old fashioned looking natural material.  Please use real cloth tablecloths not plastic, etc.

Vendors need to have a fire extinguisher (rated A-B-C) in their booth.

Vendors may set up on Friday, the day before the Harvest Fair, between 10:00 a.m. & 5:00 p.m.   Set up time is 7:30 a.m. on Saturday & Sunday of the Harvest Fair.  Booths must be completely set up by 9:30 a.m. on Saturday & Sunday.   Early closing will not be allowed.  Autos and trucks may not be moved into the Harvest Fair before closing at 5:00 p.m.
